We are seeking a warm, empathetic, and highly organised practice administrator to join our friendly team on a part-time basis, with the potential to increase to full-time for the right person. The ideal candidate will be an enthusiastic multi-tasker with excellent communication and customer service skills, a genuine interest in supporting others, and a proactive, can-do attitude.

Main Duties of the job:
- Be the first point of contact for clients, staff and visitors.
- Provide a warm, welcoming and responsive reception and telephone service to all clients and visitors, ensuring enquiries are dealt with efficiently and waiting times kept to a minimum.
- To follow up on enquiries and give advice with respect to the services offered by Oxford CBT.
- To book in new referrals and support current clients with scheduling and managing their appointments.
- To receive and record payments for bookings.
- To process information (electronic and hard copy) and use the practice management system (Jane App) and CRM system (HubSpot) – full training will be provided.
- To support the team of clinicians in ensuring high quality of customer care and services are met.
- To use initiative to deal with issues as they arise, solving problems where possible or referring to others (e.g. Practice Manager or Clinical Director).
Monitoring and Reviewing Responsibilities
- Monitor client enquiries, bookings, and administrative processes to ensure efficiency and accuracy.
- Maintain accurate and up-to-date records, ensuring compliance with data protection and confidentiality requirements.
- Review reception and administrative procedures on an ongoing basis and make recommendations for improvement.
- Support management in monitoring performance metrics (e.g. enquiry response times and appointment attendance).
Qualifications:
- Previous experience as a receptionist/administrator or in a similar role is preferred.
- Experience in a healthcare setting is a plus.
- Excellent communication skills, both verbal and written
- Attention to detail and accuracy in all tasks performed.
- Proficient in using computer software.
- Ability to maintain confidentiality of a sensitive nature.
The opportunity is part time based at our freshly refurbished clinic in central Headington. The role comes with flexibility of hours for the right candidate to fit with family, carer or study commitments.

Specialist Clinician – Neurodevelopmental Assessments (ADHD & Autism)
About Oxford CBT
Oxford CBT is a well-established, forward-thinking psychological therapy service offering a range of high-quality mental health and neurodevelopmental assessments. As we continue to grow, we’re looking for an experienced and compassionate clinician to join our dedicated team, supporting children or adults (or both) through comprehensive ADHD and Autism assessments.
The Role
You will deliver detailed neurodevelopmental assessments for children, adults, or both, depending on your experience and preference. A key requirement is the ability to conduct and score the Autism Diagnostic Observation Schedule (ADOS) in person at one of our clinics (Oxford, Hereford, or Gloucestershire).
You’ll work within a supportive, multidisciplinary team and contribute to accurate diagnoses, meaningful formulations, and thoughtful feedback to clients and their families. You’ll also play a valuable role in helping us shape and maintain the highest standards of clinical practice.
Key Responsibilities
- Deliver full neurodevelopmental assessments for ADHD and Autism in line with NICE guidelines
- Administer and score ADOS (Modules 3 and/or 4 for adults, and/or Modules 1 & 2 for children) in-person
- Liaise with clients, families, and other professionals as part of the assessment process
- Write clear, evidence-based diagnostic reports
- Offer compassionate feedback and recommendations
- Attend clinical supervision and team meetings as appropriate
- Maintain accurate and timely clinical notes using our secure practice system (Jane)
Essential Criteria
- Qualified HCPC-registered Clinical or Counselling Psychologist, or GMC/NMC/GPC registered clinician with relevant experience (e.g. Psychiatrists, Nurse Practitioners, or Allied Health Professionals)
- Formal training and significant experience delivering ADOS assessments
- Experience conducting neurodevelopmental assessments for ADHD and Autism in children and/or adults
- Strong report-writing and communication skills
- Reliable, well-organised, and compassionate in your approach
- Able to commit to a minimum of 10 assessments per month
- Willingness to work in-person at one of our clinic sites (Oxford, Hereford or Gloucestershire)
Desirable Criteria
- ADI-R trained or experience in structured developmental history taking
- Experience working within private practice or alongside NHS services
- Knowledge of DIVA, 3Di, or similar diagnostic tools
