Making the decision to explore and engage in therapy can involve lots of unknowns. At Oxford CBT we have helped people with many questions about therapy sessions. Here are some of the most frequently asked.

First steps

Congratulations! Taking that first step in seeking help is often the hardest part of anyone’s treatment process. You can take control of making your appointments by registering with our online patient portal here.  Alternatively, if you’d like to speak to our team before you book, or you’d like to discuss which therapist best fits your needs, give us a call on 01865920077 or complete our enquiry form.

Although every case is different, we work to current NICE guidelines, which suggest 8 -12 sessions. We will discuss this during your initial appointment and review it at the end of your treatment. Treatment for some conditions, such as eating disorders, may take longer.

Yes, we provide remote online therapy which can be a flexible alternative or if you cannot attend the clinic. For more info view our online therapy page or contact us.

We have a big team of clinical staff available online and across our centres in Oxford and  Birmingham. Between them, they have a range of expertise, with some specialising in specific conditions and some being experts in working with different age groups. You can find out more about our team and have the option to book an assessment appointment with them directly through our patient portal.

If you’re unsure which therapist is right for you, all of our team are specifically CBT trained to treat the most common difficulties and are able to conduct initial assessments, also recommending another therapist if better suited to your needs.

If you feel that you need to swap your therapist for whatever reason, then please contact us and we will be happy to arrange this. It is important to think about your preferences for your therapist and let us know so that we can connect you with a therapist that is right for you. Your needs might include finding a therapist who has a certain background, offers online therapy, or specialises in a specific type of therapy.

All of our therapists-in-training are already qualified and experienced mental health professionals, who are completing specialist CBT training with us at Oxford CBT. They have weekly supervision meetings with course trainers and with us, to ensure the quality of sessions they deliver is of the highest practice standard.

Mental health problems can affect anyone, and we want as many people as possible to be able to benefit from improved mental health. We work hard to keep our costs down to keep our services affordable. 

At the end of your assessment, your therapist will provide an estimate on the number of sessions recommended and book your initial block of 6 weekly sessions directly after the assessment appointment. This allows you to secure a regular weekly time that works for you. 

We are currently offering a 5% discount on a block booking of 6 sessions and a 10% discount on a block booking of 10 sessions. If you would like to take advantage of this offer, please contact our admin team by phone or by emailing contact@oxfordcbt.co.uk who will be more than happy to help.

You can also now book your appointments yourself, with our online booking system – simply login.

The assessment process for children is longer and includes the preparation of reports, treatment plans and liaising with parents or guardians outside the sessions.

The adult assessments are approximately 50 minutes, and the child assessments are approximately 80 minutes.

Yes, all our sessions are confidential. The only exceptions are if we feel that there is a risk to your safety or the safety of others. We will always talk to you about this first before we take any action. You will also have the option of allowing us to share information about your treatment with your GP.

Your therapy session will be approximately 50 minutes.

We provide sessions online and in the clinic. Our Oxford clinic address is 11a Windmill Road, OX3 7BW. We are located just above the ICE hair salon. 

Our Birmingham centre address is Our Place Support, Farthing Ln, The Royal Town of Sutton Coldfield, Birmingham, B72 1RN

Following your assessment, you can proceed with booking additional sessions. Payment will be required in order to confirm and secure any sessions booked. Payment details will be stored securely online, which allows both you and your therapist to book sessions quickly and easily using the online booking system.

Costs will need to be paid upfront and you will need to check with your health insurance provider if these are recoverable.

48 hours’ notice will need to be provided to cancel or rearrange an appointment otherwise, you will be charged for this missed session. Please reschedule or cancel an appointment online by simply logging into your account, alternatively contact your therapist by email or get in touch with us at contact@oxfordcbt.co.uk

Managing your sessions

At Oxford CBT, we offer our patients the ability to manage sessions through our patient portal (Jane). In essence, this is an online booking system that puts you in control, giving you 24-hour-a-day access to booking, cancelling and changing appointments with your therapist.

Yes, we’re here at the end of the phone if you need us to talk to us.

Click the ‘patient login’ button which can be found at the top right of our website. Next, type in your email address in the box and click ‘Next’ and enter your password.

If you’re a new client or never logged in to our Jane portal before, you will need to create a username and a password. Contact us and ask  to be sent a “Welcome Email”. The Welcome Email will include a link to our clinic’s Jane site, where you will be prompted to create a login for yourself.

First, login to your patient account.

Accessible on any page of our website via the big booking button at the top right. 

Once logged in, click on “Book an Appointment” select the location of your choice and select the discipline for your appointment.

To book by treatment, first select the desired treatment or, to book by practitioner, select your practitioner by clicking on their name or photo and then select a treatment.

The schedule will appear, showing you which times are available for today or this week. To see appointments available on a different date, either click on the “Next Day” button or click on the date header (above the schedule) to display a clickable “date picker” calendar. After selecting a suitable date, click on the available time slot to add it to your list. You can book multiple appointments by selecting more than one time slot. After selecting your appointment times, click on the “[#] Appointments” button. 

Before confirming your appointments, you can delete any of them by clicking on the trash icon.

When you are ready to finalize your bookings, click the “Confirm Bookings” button.

That’s it!

You should receive an automated email confirming all your appointment details. You can log in at any time to see the details of upcoming appointments.

48 hours’ notice will need to be provided to cancel an appointment otherwise, you will be charged for this missed session.

You can cancel an appointment by logging in, click appointments and select the appointment that you wish to cancel and then click on the CANCEL appointment button. If you cancel an appointment with less than 48 hours’ notice, payment will be taken for the original appointment.

Yes, you can change your appointment day and time by logging into the portal. If you change an appointment with less than 48 hours’ notice, payment will be taken for the original appointment.

Provided the appointment you wish to reschedule is outside of the practices cancellation policy window, rescheduling appointments is simple.

Firstly, log in to your patient account, and click ‘Appointments’. Next, click the reschedule button for the relevant appointment and choose the time to which you would like to reschedule your appointment. Finally, confirm you agree to our Terms and Conditions by clicking ‘Reschedule appointment.’ You will be taken to a confirmation page with the new appointment time, and a banner to confirm that the appointment has been successfully rescheduled.

Your payment will be taken at the time of booking your appointment, so please have your credit or debit card ready. 

There are two ways you can begin your 1:1 Online Appointment:

1. Join via Email Appointment Reminder

You will receive an Appointment Reminder email sent to you by your provider 30 minutes before your scheduled appointment time. Click the Begin button at the bottom of the email to begin.

2. Join via My Account

Alternatively, you can access this same Begin button by visiting your clinic’s Jane site, using the Sign In or Sign Up button in the top right-hand corner, and logging into your account.

Once you have logged into your account, you will want to navigate to the Upcoming Appointments tab on the left-hand side, then click the blue Begin button next to today’s appointment.
